Privacy policy
1. Data controller
Operational Intelligence Labs Limited, a company registered in Ireland with company number (CRO) 814303, contact address at Apt 71 Carlenton Village, Youghal, Co. Cork, Ireland. Data protection contact: [email protected].
2. What data we collect and why
Through the diagnostic form we collect: name, company, sector, number of employees, email and the description you write of your operational situation. We use this to generate and send you the personalised initial diagnostic, handle your enquiry and, where appropriate, contact you for an initial meeting. If you tick the corresponding box, we also use your email to send you periodic content about operations and profitability ("operational hacks") — this use is optional and separate from the diagnostic.
3. Legal basis
Sending the diagnostic is based on your consent, given by ticking the form's privacy checkbox, and on the legitimate interest of responding to your request. Sending periodic content ("operational hacks") is based on a specific, separate consent, given by ticking that checkbox independently — giving or withholding it does not affect whether you receive the diagnostic.
4. Recipients and data processors
Your data is managed through Google Workspace (email and spreadsheets), hosted within the European Union. We also use a workflow automation platform and a language-processing (AI) provider to generate the diagnostic content from what you describe to us; these providers may process data outside the European Economic Area, in which case we apply the safeguards required by the GDPR (European Commission standard contractual clauses). We do not sell or transfer your data to third parties for commercial purposes.
5. Retention
If no commercial relationship is established, we keep your data for a maximum of 24 months from your last contact with us, after which it is deleted or anonymised. If you become a client, we keep it for as long as the commercial relationship lasts and, afterwards, for the periods required by applicable tax and commercial law. If you have consented to receive periodic content, we keep your email for that purpose until you unsubscribe.
6. Unsubscribing from periodic content
Every periodic content email ("operational hacks") includes an unsubscribe link. Clicking it stops these emails immediately; it does not affect communication related to your diagnostic or any commercial relationship.
7. Your rights
You may exercise your rights of access, rectification, erasure, objection, restriction and portability, and withdraw your consent at any time, by writing to [email protected]. If you believe the processing of your data does not comply with the regulations, you also have the right to lodge a complaint with the competent supervisory authority, the Irish Data Protection Commission (www.dataprotection.ie).
